Whenever a survey or assignment task gets triggered, Sora automatically sends an email to notify the assignee about the task. This email contains the task name, due date, instructions, and a button that links to the task within Sora.
If the task is assigned to someone other than the employee going through the workflow (e.g. a new hire’s manager, the IT team, etc.), then the email notification will also indicate which employee the task pertains to.
In addition to the email that gets sent when a task is first triggered, Sora also automatically sends task notification emails to the assignee anytime a task becomes overdue or the task’s due date changes.
Magic links
With Sora, it’s possible to trigger a task before the assignee’s start date. For example, maybe you want a new hire to complete a technology preferences survey so that the IT team can send them the appropriate equipment before their first day. In situations like this, Sora will send the task notification email to the employee’s personal email address rather than their work email address. Furthermore, the button at the bottom of the notification email will act as a magic link allowing the assignee to view and complete the task without having to login via their work email address (which in most cases hasn’t been shared with them yet).
Similarly, if a task’s assignee does not have Authentication permissions within Sora, then all tasks that get assigned to them will contain a magic link, regardless of whether the task is triggered before or after their start date.
Email sender
By default all task notification emails will appear to be sent from notifications@notifications.sora.co, however, you can customize the sender by navigating to Settings > Notifications.
Only employees that have been added to the Administrators permissions group can access the Settings section of Sora.
Delivery time window
Sora will only send notification emails in the window of time from 9:00 a.m. to midnight in the timezone of the assignee. If a survey or assignment task gets triggered anytime between midnight and 9 a.m. Sora will wait until 9 a.m. to send the notification email to the assignee.
There can be a delay of up to 10 minutes after a task has been triggered for the notification email to be sent out.
Notification batching
If multiple tasks are triggered for the same assignee within a short period of time (less than 10 minutes apart) then Sora will batch the notifications into a single email.
